Position: Executive Office Support Lead ( Omani Candidates Only)

Purpose To provide high-level executive and administrative support to the Executive Office by managing workload priorities, coordinating stakeholder interactions, organizing meetings and events, and ensuring efficient internal processes. The role facilitates the execution of Executive Office responsibilities and contributes to overall office effectiveness through proactive coordination and communication. Responsibilities - Manage and coordinate executive calendars, appointments, meetings, and travel arrangements.
- Prepare meeting agendas, supporting documents, and minutes for executive, board, and committee meetings.
- Handle incoming correspondence, telephone calls, emails, and visitors at all levels of seniority.
- Draft and translate official correspondence, reports, and presentations in Arabic and English.
- Organize internal and external meetings, ensuring venues, equipment, catering, and logistics are arranged as required.
- Support preparation of reports, presentations, meeting packs, and executive communications.
- Maintain and update filing systems, databases, and records with confidentiality and accuracy.
- Coordinate with board members’ offices and senior stakeholders on meetings and correspondence.
- Liaise with government, private sector entities, and suppliers to facilitate official engagements.
- Coordinate logistical arrangements and hospitality for high-profile visitors and events hosted by the Executive Office.
- Contribute to the efficiency and effectiveness of the Executive Office by supporting key operational and administrative priorities.
- Undertake delegated activities and assignments as directed by line manager.
Serve as a key member of the Executive Office support team, ensuring that all daily operational and coordination tasks are completed to a high standard. Provide support across OMRAN Group entities as required in alignment with Group-level operational needs. Perform any additional tasks and responsibilities as assigned by line manager.
- Bachelor’s Degree in Business Administration, Management, or related field.
- Minimum of 5 years’ experience in executive support or office coordination, preferably supporting C-level executives.
- Strong proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).
- Bilingual fluency in Arabic and English (written and spoken).
